How we handle your data
We ask for very little, use it only to run the crew, and delete it when you ask. This page explains each step in plain words.
What we hold and why
Who is responsible
Responsibility for your data rests with the company named on the About page and in the footer of every page, which this page calls the operator. The volunteers of the crew can see your details only as far as they need to in order to reach you, and they have agreed in writing to keep them to themselves.
Keeping it safe
Details are stored in a protected inbox and a roster spreadsheet that only moderators can open. We use sensible, everyday precautions, such as strong passwords and no copies on personal USB sticks, and we remove access when a volunteer steps down. If we ever learn that details have been seen by someone who should not have seen them, we will tell the people affected promptly.
Who to contact about your data
Write to crew@lowpingcrew.com and say what you would like to know, correct or remove. A moderator will answer in writing, and we will ask you to confirm who you are before changing anything, so that nobody can alter another person's details. You can also ask for a copy of everything we hold about you, which we will send in a plain text file.
What the forms collect
On the membership form we request your name, an email address and your preferred kind of game; a nickname and a few words about yourself are optional extras. Nothing else is required. Details are kept while you are a member and for up to six months afterwards, so that a returning member does not have to start again. After that your entry is wiped from the roster and from our email.
What we use it for
Your details are used to reply to you, to place you in a squad, to send fixture notices and to keep a roster. They are not sold, not shared with advertisers and not used to build profiles. Photos from meetups are shared only with the permission of the people in them. We do not use automated decisions, and nothing on this site tracks you across other websites.
The basis for using it
We rely on your agreement, which you give by ticking the box on the form, and on the practical need to run a club you have asked to join. Under the Australian Privacy Principles you may ask to see what we hold, and you may withdraw your agreement at any time.
Three short notes
Cookies and similar storage are explained on the cookie notes page, which lists every key the site uses and how long it stays.
The crew is for adults only. We do not knowingly collect details from anyone under 18, and any such entry is deleted on sight.
When this page changes in a way that matters, the change is announced to members by email before it takes effect.
